How to move from administrative assistant to project manager
Scheduling is automating fast. The judgment and discretion an experienced admin brings to keeping a chaotic calendar and a dozen stakeholders moving in the same direction is, almost exactly, project management.
Admins who coordinate more than one person's calendar are already doing informal project management — tracking dependencies, chasing overdue items, managing competing priorities. The move to a formal PM title is mostly about naming and structuring what you already do, plus a credential that gets you past resume screening.
What carries over, and what you'll need to build
A realistic transition plan
- Ask to formally own a small project where you're already informally coordinating one. This is the single fastest path — turning "I keep this initiative on track anyway" into an actual title change or resume line, internally, before you go external.
- Get CAPM-certified, not PMP, first. PMP has an experience requirement most admins haven't logged yet. CAPM has no prerequisite and signals real intent to hiring managers screening resumes.
- Learn one PM tool properly. Jira for software teams, Asana or Monday for most others — being able to say you've actually run a project board, not just heard of one, matters in interviews.
- Use AI for the status-tracking grunt work, and put your energy into stakeholders. Automated status updates and schedule tracking are increasingly table stakes. What differentiates a PM now is catching the interpersonal friction that's about to derail a deadline before it does.
